Youth First Board Minutes
Monday, September 22, 2008


Call to Order: Chair Paul Manuel called meeting to order at 5:05 PM .

Members present: Paul Manuel, Jeff Lundquist, Nicole Wilke, Tim Prom, Tracy Reimer, Mona Volden, Jeff Herr, Zane Schaefer, Marlene Young, Coordinators Pam Wurm and Mary Barkley Brown.  Also in attendance was Ward, with the Annandale Police Department.

Secretarys Report: Motion by Marlene, seconded by Tim, to approve minutes from August, 2008 meeting.  Motion carried.

Treasurers Report: Mary presented Carmen Merrills treasurers report.  A motion was made by Jeff Herr, seconded by Jeff Lundquist, to accept the treasurers report.  Motion carried. 

Old Business:

Officers:  A motion was made by Jeff Lundquist, seconded by Tim, to approve Marlene Young as secretary.  Motion carried.

Tonic-Sol-Fa Concert:  Nicole reported that the Annandale State Bank and Community Education are sponsoring a Tonic-Sol-Fa Concert at the Annandale High School Auditorium on Thursday, Oct. 23. Any proceeds from the concert will be donated to Annandale Youth First.  Tickets are $15 and are available at Community Ed., Youth First Office, Snooty Fox and the Annandale State Bank.  All Youth First Board Members are encouraged to sell tickets.   All Youth First Board members are asked to help the evening of the concert, with taking tickets, selling Tonic-Sol-Fa merchandise and participating in a Youth First Presentation.  Tim and Mary had a preliminary Youth First video presentation to be shown on the big screen before the concert starts.  Zane Schaefer will be our master of ceremonies, with a welcome at 7:00 PM .  He will make remarks about Youth First.  The theme is Youth First Touched My Life.  Zane will mention that all donations are tax-deductible and we will have a donation box at the event.  Paul Manuel volunteered to print more brochures.  Zahler Photography is donating buttons to give away with our theme.

Mary will type receipts to hand out for any donations given on the spot. 

Nicole reported that 100 tickets have been sold.  We need the following at the concert:

6 ushers: Paul, Zane, Jeff, Ward need 2 more (show handicapped access, if needed)

6 ticket takers: Paul Manuel, Laura Manuel, Nathan Manuel, Linsey, Naomi Volden, Tims daughter?  (may need 1 more) tear ticket and give back

2 ticket sellers: Mona and Bo Wilke (need more)

3 to sell Tonic-Sol-Fa merchandise: Marlene Young and Jeff Lundquist need one more

Audio/Visual volunteer:  Polly and Kevin Kampsen

Tracy Reimer will let us know if she and her daughters can help.

Volunteers should arrive at 6:00 PM .

All volunteers will wear black shirts with the buttons and name tags that say Youth First board of Directors. 

We need a table set up in front to sell tickets.

Nicole Wilke is the go-to person that night, if you have questions.

Paul will set up a booth, Mary will get signs and large photos.  Pam and Mary will man the booth.  The booth has a donation box built in.

Jeff Herr will set up 12 handicapped parking spots before the event. 

Board members are asked to help clean up after the event.

Tickets should be sold at school conferences and Visit your School Day.

Announcements should be made at the Climb Theater Presentation and at a Bendix School Meeting.  It would be great if clips could be shown to the students.  Music classes have been asked to promote this, also.

Marlene reported that Jean Just offered to let Youth First sell Tastefully Simple products, through catalogs or parties and receive 30% of the gross.  Marlene will look into this for the holiday season.  Motion was made by Nicole and seconded by Marlene, to set up this fundraising idea.

Next meeting: October 20, 5:00 PM at City Hall.

Motion by Jeff H, seconded by Tracy ,  to adjourn.  Motion carried.  Meeting adjourned at 5:55 PM .
