Youth First Board Meeting Minutes
Monday, January 19, 2009
Annandale United Methodist Church  

Call to Order: Chair Paul Manuel called meeting to order at 5:00 PM .

Agenda Accepted:  Motion by Tracy , seconded by Tim, to accept the agenda.  Motion carried.

Members Present: Paul Manuel, Nicole Wilke, Tim Prom, Tracy Reimer, Mona Volden, Zane Schaefer, Marilee Benson, Coordinators Pam Wurm and Mary Barkley Brown. 

Secretarys Report: Motion by Tracy , seconded by Marilee, to approve minutes from November, 2008 meeting.  Motion carried.

Treasurers Report: Mary presented Carmen Merrills treasurers report and donations.  A motion was made by Zane, seconded by Nicole, to accept the treasurers report and donations.  Motion carried.

Youth First Coordinators Report:  Mary and Pam reviewed report for December and January.

WCFSC Update:  Mary reported that the next quarterly meeting is January 20.  The Local Collaborative Time Study is scheduled to end in April of 2009.

Old Business:

A.  Apollo Male Chorus Concert:  Will be on Saturday, April 18, 1:30 PM at the AHS Performing Arts Center.  Tickets will be $10 and will be available at the Annandale Advocate, Annandale Community Education, Annandale State Bank, Youth First Office and Security State Agency in Maple Lake .  Proceeds of the concert will be split between youth First and the Apollo Male Chorus.  Please contact Mary if you are available to help the day of the concert and/or sell tickets.  At the concert we need ticket sellers, ushers, ticket-takers and an audio/visual volunteer.  Youth First video presentation to be shown on the big screen before the concert starts.  Zane Schaefer will be our master of ceremonies, with a welcome at 1:30 PM .  He will make remarks about Youth First.  We need a table set up in front to sell tickets.  Board members are asked to help clean up after the event.

Music classes will be asked to promote this.  Mary will ask Advocate to do an article about concert.  Mary will ask about putting this in a Chamber of Commerce ad.  Mary will send press releases to neighboring newspapers.

B.      Tonic-Sol-Fa Christmas Concert for 2009:  Nicole reported that the cost of a Christmas Concert would be $15,000.00.  Tonic-Sol-Fa would need the use of the auditorium for several days, as well.  Board members asked Nicole to check into a fall concert for a rate similar to the concert in 2008.

C.    Update on December Fundraising Efforts:  Letters were sent to community members in an effort to help raise donations for Annandale Youth First.  Mary presented a report showing the totals brought in by the letters.

New Business: 

A.  Business Expo:  Saturday, April 18.  Please let Mary know if you can   help at the Business Expo booth that day. 

B.  Kiwanis Bowling Event:   Fundraising event for Youth First will be held on Saturday, February 21.  Jeff, Mary and Zane are working with the Kiwanis Club on this event.  Please let Mary know if you can help at the bowling event, starting at 3:30 PM or if you would like to bowl on a team, or if we can form a Youth First bowling team.  Cost is $25/person.  A team consists of 6 members.  Meal only is $10 per person.

C.  Annual Township Meetings:  Youth First needs representation at the upcoming Southside and Corinna Township meetings on March 10.   Paul Manuel volunteered at Corinna.  Please let Mary know if you could attend one of the township annual meetings.

Next Months Agenda:  Old business should include revisiting the fundraising direct mail effort with a possible mailing in the spring or fall.

Next meeting: Monday, February 23, 5:00 PM at City Hall.

Motion by Marilee, seconded by Tim, to adjourn.  Motion carried.  Meeting adjourned at 5:51 PM .
